Job Responsibilities:

Job Summary: The Office Ambassador serves as the first point of contact for visitors, clients, and employees, playing a key role in creating a welcoming and positive environment for all who enter the office at the Scalo Companies. This role involves managing office communications, providing excellent customer service, and assisting with general office operations. The Office Ambassador is responsible for ensuring smooth front desk operations and promoting a professional and engaging atmosphere that reflects the Scalo Companies' values and culture. The Office Ambassador is a critical role within our organization, ensuring that both employees and visitors have a seamless and welcoming experience. Responsibilities:

  • Greet and welcome guests, clients, and employees with a friendly and professional demeanor, ensuring a positive first impression of the company.
  • Answer, screen, and direct phone calls to the appropriate departments. Respond to general inquiries via phone, email, or in-person, and escalate issues as needed.
  • Assist visitors by notifying the relevant team members of their arrival and directing them to appropriate meeting areas. Maintain a visitor log for security and record-keeping purposes.
  • Provide a high level of customer service to clients and customers, helping them with inquiries, scheduling appointments, and coordinating meetings or events.
  • Assist with administrative tasks, such as organizing office supplies, managing office schedules, and supporting team members with event planning or other operational needs.
  • Help coordinate in-house meetings, such as arranging room setups, providing refreshments, or preparing materials for presentations or workshops.
  • Maintain effective communication between departments, ensuring that information is relayed efficiently to appropriate team members.
  • Act as a brand ambassador for the company, ensuring that every interaction with visitors and employees reflects the company's culture and values.
  • Provide support for general office tasks, such as filing, data entry, organizing documents, and other ad-hoc requests from team members.
  • Ensure that office security and safety protocols are followed by monitoring access points, issuing visitor badges, and maintaining a secure environment.

 


Job Qualifications:
  • High school diploma or equivalent required. An associate or bachelor’s degree in business administration, hospitality, or a related field is a plus.
  • 1-2 years of experience in a customer service or administrative role. Prior experience in a receptionist, office coordinator, or client-facing position is highly preferred.
  • Exceptional interpersonal and communication skills, both written and verbal.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks simultaneously in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (phones, copiers, etc.).
  • Ability to maintain confidentiality and exercise discretion.
  • Professional, friendly, and approachable demeanor.
  • Proactive with a problem-solving mindset.
  • Strong customer service orientation.
  • Ability to work independently and as part of a team.
  • Ability to sit, stand, and walk for extended periods. Light lifting of office supplies may be required.

 

Job Type: Full-time, In-office
Work Hours: Monday to Friday, 8:00 AM – 5:00 PM

Hourly Rate: $18.00 - $20.00 per hour
